BASIC FUNCTION
Under the dual supervision of two Directors of Business and Legal Affairs, this position is accountable for performing routine secretarial and clerical duties, relieving the supervisor of as much detail work as practical. This position interacts with Entertainment Group personnel internally, external production companies and assisting those seeking contact with the supervisors externally.
PRIMARY RESPONSIBILITIES
1. Receive and screen calls, assisting those seeking contact with the supervisor. Receive and direct calls regarding unsolicited submissions for Playboy TV, the Magazine and requests for use of Playboy name and materials.
2. Compose correspondence, prepare and distribute memos, letters, agreements, correspondence, etc. from handwritten and printed matter, including multi-paged agreements.
3. Track the receipt and distribution of contracts. Following-up on pending projects, research and outstanding contracts as necessary. Distribute fully-executed contracts internally and externally as appropriate.
4. Create production files, organize and maintain department files utilizing the department filing database system.
5. Receive and open mail, attaching appropriate background information when necessary. Return unsolicited material with appropriate cover letter to sender.
6. Coordinate production materials as they arrive, routing to the appropriate person for handling. Working closely with various departments to ensure requirements have been approved and accepted for completion of project. Sign-off appropriate delivered materials in rights management database.
7. Calendar, prepare and submit check requests. Track all payments, working closely with the accounting department providing supporting documentation as necessary. Contact outside production companies with status of payments, issuing payment by mail or arranging for pick-up by the production company. Prepare program payment reports as requested.
8. Prepare monthly amendments for various licensed programs. Send signature copies in PDF format to each licensor via electronic mail. Track amendments pending signature, ensuring their receipt prior to program air date. Distribute amendments internally.
9. Order supplies for the Business & Legal Affairs Department.
10. Review, obtain necessary signature approval and submit invoices provided by outside lawyers for the review of licensed adult product.
11. Maintain calendars and address books. Arrange and schedule conference calls/meetings, reserving conference room and/or phone dial-in number. Arrange travel when necessary. Prepare and submit expense reports through online management system.
12. Provide additional support to Business and Legal Affairs Department as necessary.
REQUIREMENTS:
High school diploma, or equivalent, with a minimum of three years’ secretarial experience, strong typing and communication skills with strong knowledge of word processing applications required and the ability to learn new programs with ease. Prior legal experience also required and familiarity with Redline documents a plus. Previous experience in the entertainment industry is desirable.

Under the direction of the LA Rights and Permissions Manager, this position is responsible for clearing and licensing Playboy material for third party usage, such as for television shows and motion pictures. Insure all permissions are in accordance with Company Policy. Position will archive licensed clips for potential third party reuse. 8. Draft Permission, Film Footage, or Trademark License Agreements for signature by Manager.
9. Work with Post Production to order final copies of the requested material, including broadcast-quality videotapes.
10. Handle administration of invoices and dubbing expenses.
11. As necessary, write letters to potential licensees to decline permission to use Playboy material.
12. Follow up on actual use of materials in programs and invoice payments, and ensure that screeners and other loaned Playboy materials are returned.

REQUIREMENTS:
Two years entertainment industry experience required, preferably in the area of clip licensing or contract administration. Strong organizational skills, tact in dealing with various organizational levels, both internally and externally, and the ability to take initiative and work independently. General
Under supervision of ILM counsel and outside counsel, coordinate and administer all aspects of the patent portfolio of companies affiliated with Lucasfilm Ltd., including responsibility for all aspects of patent prosecution from filing to issuance.

Qualifications:
Minimum five years experience as a contract administrator or transactional paralegal.
Strong experience in drafting agreements and legal correspondence required, with a heavy emphasis on intellectual property and other commercial and inbound agreements, preferable in a fast-paced technology company. Training or education in intellectual property law highly desirable.
Exposure to open source software and related intellectual property issues a plus.
Excellent organizational skills, ability to handle many projects at once with efficiency, high level of detail and accuracy within an extremely fast-paced, multi-project, tight deadline environment.

CONTRACT RIGHTS, RIGHTS DATABASE & IBMS SPECIALIST
Under the direction of the LA Rights & Permissions Manager, this position is accountable for analyzing all contracts related to titles produced or acquired by Playboy and its affiliated companies and ensuring all relevant contract information is entered into the scheduling system known as IBMS and LA Media Asset Rights Information System (LA-MARIS). This position is also accountable for the daily operation of IBMS (as it relates to Rights and Permissions) and LA-MARIS.
PRIMARY RESPONSIBILITIES:
1. Manage the IBMS and LA Media Asset Rights Information Systems (LA-MARIS). Involves learning to use assorted Media Asset Systems (IBMS, MARIS, SMEAD) to enter contract information and talent information. Ensure that the information entered into IBMS and LA-MARIS is correct and reliable, including information entered by users throughout the division.
2. Analyze all contracts related to the production of or licensing of all home videos and television shows added to Playboy’s library of titles to determine all rights retained or granted to Playboy and its affiliated companies. Identify contract issues that need clarification or amendment as contracts are being entered or updated into IBMS and route such issues to the department head or appropriate attorney.
3. Enter into IBMS rights information and any comments deemed necessary for end users of the IBMS system. Enter new Home Video titles and attach delivery requirements in IBMS for home videos and all television shows produced by Playboy. Attach the necessary versions to the titles to allow the titles to air domestically via VOD.
4. Ensure additional rights information is entered into LA-MARIS.
5. Under direction from Rights and Permissions Manager assist in the Permissions Process to process requests (in-house and outside) for reproduction of adult motion pictures in various media such as internet, print, television, videos, and new media by analyzing contracts and abstracting information, conducting research, and preparing reports.
6. Maintain a weekly status report of contract entered/to be entered into IBMS and LA-MARIS and track the progress of requests related to the Permission Process.
7. Network with Chicago Media Manager on continuing implementations of LA-MARIS (rights database, MARS, and DocManager). Compose and amend training manuals for LA-MARIS and distribute to system users. Identify and document system bugs and report them to the department head, to the head of IT, and when necessary Chicago Media Manager. Follow-up on and test the fixes to the bugs.
8. Oversee LA Media Asset Request System (LA-MARS) and work with LA R & P Media Administrator to oversee LA document imaging system.
9. Train new users and answer questions from persons throughout the company on the use and application of the IBMS (as related to the Rights & Permissions Department) and LA-MARIS.
PERSON SPECIFICATIONS:
A college degree or equivalent with a minimum 3 years of experience preferred as a contract administrator, paralegal, or in similar rights database management position for the motion picture or television industry. Candidate should have clear understanding of rights issues related to production, acquisition and distribution of motion pictures, television programs and home videos.

Under the direction of the Media Administrator, this position is responsible for contract administration related to the licensing of adult motion pictures, as well as the monitoring and administration of compliance with Federal Regulation 2257 as related to ICS product. This position will scan rights documentation and ID’s and will index information into appropriate software.
PRIMARY RESPONSIBILITIES:
1. Serves as Custodian of Records for ICS (Adult.com), acts as point person upon external investigation of 2257 files, insures that company in compliance with Federal Regulations at all times, and insures that corresponding model files contain proper identification and related documentation.
2. Ensuring ICS product is in compliance with United States Code, Title 18, Section 2257, which requires, among other things:
a. Checking photo identifications for every performer engaged in actual sexual activity to ensure the person was 18 years or older at the time the film was produced and that the ID was a valid ID at the time of production.
b. Maintain index of all performers that includes their real names, aliases, any pictures in which they have appeared and other information as necessary.

3. Work with Playboy Traffic Department to coordinate the receipt and processing of the physical delivery materials and elements ICS is required to deliver to clear its content for airing via adult TV channels or for re-use in other products produced by Playboy and its related companies.
